TV, Projector or LED Wall: Picking the Right Screen for Your Meeting

Large screen at a conference compared with a projector screen

The screen is what most of your audience looks at for the whole meeting. Pick one that is too small or too dim and the back rows stop following along. Here is how to choose between a TV, a projector and screen, and an LED wall.

Start with three questions

  • How far is the back row from the screen? A common rule for slides with text is that the farthest viewer should sit no more than about six times the screen’s height away. The bigger the room, the bigger the screen.
  • How bright is the room? Daylight and bright overhead lights wash out projected images. TVs and LED walls hold up much better.
  • What are you showing? Spreadsheets and small text need a sharp, close screen. Videos and big headline slides are more forgiving.

TVs and monitors

Best for: boardrooms, small meetings, breakout rooms, registration and trade show booths.

  • Bright and sharp, even in a sunny room
  • Quick to set up on a floor or table stand
  • Easy to add a second or third screen for a long room
  • Too small on its own for a large ballroom

See event TV rental and meeting and boardroom AV.

Projector and screen

Best for: mid size and large rooms where you can control the light, such as hotel ballrooms and training rooms.

  • A large image for a reasonable cost
  • Works best when you can dim the lights near the screen
  • Needs space for the projector and a clear path for the image

For projector and screen rental, our sister company Angels Music Productions has the full range of projectors and screens.

LED walls

Best for: big stages, product launches, outdoor events and rooms that cannot be dimmed.

  • Very bright, even in daylight
  • Can be built to almost any size and shape
  • Costs more, and needs more setup time and power

For LED wall rental, see Angels Music Productions.

Quick guide by room

  • Boardroom or small meeting: one large TV
  • Breakout room of 20 to 50: one or two large TVs, or a projector and screen. See breakout session AV.
  • Training room: a projector and screen, plus a TV for a second view. See seminar AV.
  • General session or keynote: one or two large screens, plus a confidence monitor for the speaker. See conference AV rental.
